The workflow begins when a new record enters Clay from an inbound form or webhook. The demo table starts with the contact's first name, last name, full name, email address, and company name. From there, Clay identifies the company, checks what is already known, fills the most important data gaps, evaluates fit, creates sales context, distributes the lead, and updates the CRM.
The goal is not to collect every possible data point. It is to gather enough reliable information to decide whether the lead deserves attention and to give the sales team useful context for the first conversation.
The first step is to determine what type of email address the contact submitted. It may be a company address, a personal address, or an educational address.
When the contact provides a company email, the workflow can extract the domain directly from the address. This creates a reliable starting point for identifying the organization.
Personal and educational email addresses require a different route. In those cases, Clay uses the submitted company name to find the correct company domain.
Step 2: Use waterfall enrichment to improve coverage and control cost
To find missing information, the workflow uses waterfall enrichment. A waterfall sends the same search through several data providers in sequence. If the first provider cannot return a result, the next provider tries, and the process continues until the required information is found or the available options are exhausted.
The providers can be arranged by cost, expected quality, or suitability for the use case. Lower-cost sources can be tested first, while more expensive options are used only when necessary.
This approach provides two practical benefits:
🔹 Better data coverage, because a missing result from one provider does not end the search.Once the company domain is known, the workflow checks the CRM before searching externally. In the recording, this lookup is used to see whether the contact's LinkedIn profile is already available.
Reusing existing CRM data avoids unnecessary enrichment costs and reduces the risk of creating duplicate or conflicting records.
When the CRM does not contain the profile, Clay launches another waterfall to identify the correct LinkedIn URL. An AI research step acts as an additional fallback when the standard providers cannot return a result. The workflow then writes the best available result into a final contact LinkedIn field.
This creates a sensible order of operations: use existing first-party data first, call external providers when needed, and use AI to investigate unresolved gaps.
The workflow searches for a work email only when the contact has not already supplied one. It then uses Clay's native person enrichment to add and validate professional information, including:

The person-level information provides the foundation for company enrichment. In the demo, the resulting fields include industry, company description, country, year founded, primary-location status, address data, employee count, revenue indicators, and technologies in the company stack.
In a production implementation, person and company enrichment should usually run in separate tables. The company is enriched once, and the result is reused across all associated contacts. This prevents the same account from being enriched repeatedly whenever another employee submits a form.
This separation improves data consistency and keeps enrichment costs under control.
Enrichment becomes commercially valuable when the collected data informs a decision. The recording shows a scoring layer that evaluates both the contact and the account against predefined qualification criteria.
The scoring model uses signals such as:
🔹Title strength and the relevance of the contact roleStructured fields support some criteria directly. AI can assess criteria that require interpretation, such as the likely maturity of the company's go-to-market operation.
The individual results are combined into an ICP tier. In the demo, the output distinguishes priority accounts, possible-fit accounts, lower-priority records, and contacts that are not a fit. This lets the sales team focus attention where it is most likely to create value.
A score tells the sales team where to focus, but it does not necessarily explain how to start the conversation. The final AI enrichment step gathers sales-call insights about the company and the contact's context within the account.
